Volunteer Expectations
We CANNOT run meets without Volunteers!
If you have a swimmer who qualifies for Championships, they will NOT be allowed to swim unless you fulfill your 3 volunteer sessions.
Our families are what make Highlands Otters a great team to be part of! In order for our swimmers to have the best possible experience, we ask that each family volunteer at least three times during the season.

Meet Volunteer Positions
- Timer / Head Timer / Relief Timer- A swim timer volunteer is responsible for starting and stopping a stopwatch to track a swimmer’s performance in each event, ensuring precise timing and supporting the official results. They help maintain the flow of the meet, work closely with other officials, and contribute to fair and efficient competition.
- Bullpen- A swim bullpen (or clerk of course) volunteer helps gather swimmers for upcoming races, lines them up correctly by event, heat, and lane, and ensures they are ready to report to the starting blocks on time. This role keeps the meet running on schedule and reduces delays.
- Concession Stand (home meets)- A concession stand volunteer helps operate the food service area by providing snacks, drinks, and other items to attendees. They contribute to a positive event experience while also supporting fundraising efforts for the team or organization.
- Runner- A runner volunteer acts as a communication link between officials, timers, and the scoring table by quickly and accurately delivering items such as timing sheets, results, or paperwork. This role helps ensure the meet stays organized and on schedule.
- Data Entry- A data entry volunteer enters swimmers’ times, event details, and results into meet management software. This role is essential for producing accurate race results, rankings, and heat sheets, helping the meet run efficiently and fairly.
- Announcer (swim or dive meets)- The starter gives the verbal commands (such as “Take your mark”) and signals the start of the race using a starting system (horn or electronic device). They ensure all swimmers are properly positioned and that each race begins fairly and safely.
- Ribbons- Puts stickers on ribbons after races are completed.
